The working week, in practice

Build the restaurant work schedule around the service.

Prep, lunch, dinner and closing need different coverage. Use the same weekly view to organize each part of the day and review changes before publishing.

Locations and positions

The kitchen and the floor need different people.

Create positions for the roles you use, such as cook, server or host. Schedule shifts by location and position so the plan has more context than a list of names.

Weekly Shift Planner

Lunch cover is different from dinner cover.

Choose shift start and finish times around your expected service. Review the week, keep changes in draft and publish when the restaurant shift scheduling plan is ready.

Requests and coverage

Someone cannot make an evening shift.

Use shift requests and open shifts to coordinate a change. Review eligible coverage options against stored availability, existing shifts and approved leave rather than promising an automatic replacement.

Availability and time off

Availability and time off arrive in different conversations.

Employees can record weekly availability and submit leave requests. Authorized managers review decisions in the workspace, with approved-leave and overlap checks available while planning.

How it works

From next week’s service plan to a published schedule.

  1. Set up the restaurant team

Add your location, define kitchen and front-of-house positions, and invite employees to the workspace.

  2. Plan prep, service and close

Review availability and approved time off, assign the shifts you need and leave unfilled work as open shifts.

  3. Publish and follow the day

Publish the plan so employees can see their shifts. Handle requests and review clock-ins and completed hours as the week unfolds.

See the complete workflow

More context for the decisions a restaurant manager makes.

A Friday dinner call-out

Start with the affected shift and review coverage options. Keep the request and approval together, then use team messaging to coordinate the agreed change.

The close ran later than planned

Review recorded clock-out times and breaks in Timesheets. Compare scheduled and actual hours in reports instead of assuming the published shift is the time worked.

Useful answers

Restaurant scheduling: common questions

Can I organize kitchen and front-of-house shifts separately?

Yes. Add positions for your restaurant roles and assign shifts to those positions. The planner supports employee and position grouping within the selected location.

Can I plan opening and closing shifts?

Yes. Set the start and end times for each shift, including work that crosses midnight. Add the employees or open shifts needed for prep, service and closing.

Does a shift swap happen without a manager reviewing it?

No. Shift-change requests follow the existing approval workflow. An authorized reviewer assesses the request, and coverage eligibility is checked before a change is approved.

Can I track restaurant employees’ actual working hours?

Yes. Employees can clock in, record breaks and clock out in the web app. Owners and authorized managers can review completed attendance entries, corrections and worked-hour totals in Timesheets.
